Band Boosters Position Descriptions

President

  • Appoint officers and coordinate chairs
  • Get a list of parents and their phone numbers who are available to
    collect fees during the band classes – give this list to the Classroom
    Volunteer Coordinator
  • Stay in contact with band director
  • Coordinate (announce or appoint announcer) annoucements at concerts
  • Maintain flow of information between band director and various chairs
  • Maintain flow of information to webmaster
  • Letter at band camp check-in
    • Welcome, Friday potluck reminder, chaperone & hemming help, revised fall schedule
  • Reserve appropriate location for two dinners
    • Homecoming and Band Night

Vice President

  • Coordinate Spring trip
  • Follow up on contracts with travel agency
    • (director makes initial contacts and contracts with all pertinent parties)
  • Coordinate schedule of payments and parent notification with company due dates
    • First letter – December
    • Second letter – final information
  • Coordinate with chaperone chairs, determine exact number of male and
    female chaperones needed
  • At least one VP should go on trip
  • Generate room lists from student-signups.
  • Confirm final schedule with director and then forward to bus company

Secretary/Publicity

  • Take minutes at all Bandbooster meetings
  • Mailing and letters as necessary
  • Update letters as necessary (Homecoming Potluck, etc)
  • Forward announcements to local media, webmaster, and other officers
    • Concerts, performances, awards, fund raisers, etc.

Treasurer

  • Keep accurate records of funds received and disbursed
    • including: fundraising monies, transportation, Band camp, t-shirt and shoe fees
  • Write all checks
  • Coordinate efforts with assistant treasurer with respect to
    fund-raising and timely student collections
  • Maintain individual student accounts
  • Maintain records of Certificates of Deposit and other savings/endowments
  • Assist in the formulation of an annual balanced budget

Assistant Treasurer/Fund Raiser

  • Coordinate with the Classroom Volunteer Chair to collect fees and write receipts
  • Recruit additional help to solicit from area businesses
  • Coordinate fund raising efforts with band director
  • Collect and compile all orders from students
  • Copy all order forms for archives and following years
  • Organize envelopes and order forms for pick-up
    • Names and amount due on each envelope
  • Coordinate with band director the delivery and distribution of orders
  • Coordinate with band director the recovery of all funds
  • Forward all funds to band booster treasurer
  • Provide Band Director with a list of delinquent students
  • Coordinate with publicity chair to publicize sale

Webmaster/DB

  • Update website, including
    • upcoming schedules
    • chaperones
    • work with publicity to publicize all events
  • Maintain data bases of student addresses and phone numbers
  • Coordinate link with BHS, BEV and other school and arts sites
  • Provide address labels to secretary as needed

Chaperone Coordinator

  • Assign chaperones for all band activities, including football,
    competitions, district and regional auditions and festivals, spring trip
    (coordinate with vice president), band camp (coordinate with band camp
    chair)
  • Provide band director and webmaster with lists of chaperone and head chaperone for each event
  • Maintain first aid/emergency box (FAEB) (to include all emergency permission forms)
  • Be certain that FAEB is at all events with head chaperone
  • Create a “chaperone instructions” sheet for disbursal at all events

Classroom Volunteer Chair

  • Contact parents from list provided to collect fees and write receipts during Symphonic and Concert Band class periods.

Band Camp

  • Coordinate chaperones with chaperone chairs
  • Coordinate all paperwork and forward funds to treasurer
  • Confirm dates with band director
  • Follow up on all arrangements with location after initial contracts and contacts by director
  • Send out final information no less than two weeks prior to camp
    • include information on pot luck dinner

Marching Band

  • Provide canned drinks and water at all performances
  • Supervise student loading and unloading of equipment
  • Coordinate with head chaperone on plumes and other equipment needs
  • Assist chaperones as needed

Concert Band

  • Assist in distribution and collection of uniforms prior to and following all concert performances
  • Other duties as needed

Flag Corps

  • Assist with flag corps uniforms and equipment as necessary

Uniforms, Marching

  • Measure and fit all marching uniforms
  • Coordinate alterations
  • Make periodical checks for ill-fitting uniforms
  • Order t-shirts, band shoes, and gloves as necessary
  • Assemble an “Idiot box” to include extra uniform parts and accessories for use by band sergeants prior to all performances.
  • Coordinate uniform cleaning with band director and cleaning institution (Cleaner World, Norm Fitzwater)

Uniforms, Concert

  • Measure and fit all concert uniforms
  • Coordinate alterations
  • Make periodical checks for ill-fitting uniforms
  • Collect and disburse uniforms prior to and following each concert
  • Coordinate uniform cleaning with band director and cleaning institution (Cleaner World, Norm Fitzwater)
    • Shirts, dresses, tuxedoes

Band Camp Potluck

  • Friday night, BHS, 6 pm, marching band practice field
  • Assist during first year
  • Coordinate during second year
  • Inventory utensils, plates, cups, and other paper products
  • Purchase supplies as needed
  • Recruit others to assist with set-up and clean-up

Homecoming Potluck

  • Friday night, Homecoming, appropriate location, following parade
  • Remind secretary and webmaster to publicize this with parents
  • Inventory utensils, plates, cups, and other paper products
  • Purchase supplies as needed
  • Recruit others to assist with set-up and clean-up

Band Night Dinner

  • Friday night, Band Night, appropriate location, following mass rehearsal w/8th graders
  • Order and pick-up pizza and beverages
  • Get head count from band director first!
  • Inventory utensils, plates, cups, and other paper products
  • Purchase supplies as needed
  • Recruit others to assist with set-up and clean-up
  • Set-up billing or forward all bills to treasurer

Band Camp Senior Dinner

  • 9:00 pm, Last night AT Band Camp
  • Get head count and list of names from band director
  • Develop self-supporting budget and contact parents for their contributions
  • Make menu, purchase and prepare food
  • Decorate facility
  • Serve and clean up

Swing Dance

  • Assemble committee to assist
  • Coordinate publicity
  • Determine ticket sales
  • Arrange refreshments as necessary
  • Arrange money collection
  • Set up tables
  • Clean up

Awards

  • Discuss band awards being announced at BHS Senior awards program
  • Coordinate all awards with band director
  • Coordinate ordering and engraving with band director

Trailer

  • Get it there
  • Supervising loading and unloading of equipment (coordinate with band sergeants)
